Before

Five spreadsheets and three vendor tools drove weekly stockouts, 20+ hours of manual reconciliation, and a month-end close stuck on day 18.

After

One custom ERP with live inventory sync, automated reorder thresholds, finance close on day 3, and a warehouse mobile companion.

01 — Problem

The challenge

Meridian Retail is a mid-market omnichannel retailer running 14 stores plus a growing ecommerce channel. Inventory lived across five spreadsheets and three disconnected vendor platforms. Warehouse staff spent 20+ hours every week manually reconciling stock figures. Stockout events hit at least twice per quarter — each costing $30,000–$80,000 in lost sales and emergency restocking fees.

Finance could not close monthly books until day 18 because purchase-order data lived in a different system than inventory receipts. Store managers had no reliable view of what was actually on shelves versus what ecommerce had already sold. Leadership evaluated off-the-shelf retail ERP software, but every package forced Meridian to abandon workflows that differentiated their vendor relationships.

They needed custom ERP development: a single source of truth for inventory management, purchase orders, and finance — without ripping out barcode scanners or their existing 3PL.

02 — Research

What we learned

We embedded with Meridian’s warehouse, finance, and vendor-management teams for two full weeks before writing production code. The discovery sprint mapped 47 distinct manual handoffs and quantified three failure modes: (1) dual-entry inventory drift between ecommerce and stores, (2) reorder lag when SKU velocity spiked, and (3) AP/AR disconnect during goods receipt.

We audited their barcode hardware, 3PL EDI feeds, and accounting chart of accounts to confirm a unified data model beat brittle middleware. Competitive review covered Shopify inventory apps, NetSuite retail modules, and two regional ERP vendors — none handled Meridian’s multi-vendor consignment rules without expensive customization.

The architectural bet: build a purpose-built retail inventory management system with automated reordering, then phase finance modules on the same ledger rather than glue five SaaS tools together.

03 — Solution

What we built

Wilayah Softworks delivered a custom retail ERP covering:

• Real-time inventory tracking across stores, warehouse, and ecommerce channels • Automated reorder thresholds per SKU with vendor lead-time awareness • Purchase-order lifecycle management and goods-receipt matching • Finance module that closes month-end on day 3 • Mobile companion app for warehouse picking and cycle counts • Native integration with Meridian’s 3PL and existing barcode scanners — zero new hardware

Architecture used a PostgreSQL single source of truth, Redis for stock-level caches under peak ecommerce traffic, and an API layer that replaced spreadsheet uploads. The warehouse mobile app ships offline-tolerant scans that sync when connectivity returns. Rollout ran store-by-store with parallel-run validation so ops never flew blind.

This engagement is a blueprint for brands that have outgrown spreadsheets but refuse a one-size-fits-all ERP that breaks how they actually buy and sell.

Measurable results

Outcomes validated with the client operations team after launch — not vanity metrics.

  • 63% reduction in weekly operations overhead — from 20+ hours to under 8
  • Zero stockout events in the first two quarters post-launch
  • Month-end financial close moved from day 18 to day 3
  • Custom ERP rollout finished 6 weeks ahead of the original timeline
  • Vendor onboarding cut from 3 weeks to 4 days via a self-serve portal
  • Ecommerce and store inventory variance dropped below 0.4%

Frequently asked questions

Meridian’s consignment and multi-vendor rules did not fit standard retail ERP templates without heavy customization cost. A focused custom ERP delivered the exact inventory and finance workflows they needed — faster and at lower total cost of ownership for their scale.
